How to Register (and Terminate) Employees with NSSA

Keep your NSSA employee list in step with payroll — and your P4 will stop failing.

The fastest way to break an NSSA P4 is an employee list that does not match NSSA's. Every new hire needs an NSSA registration, every change of details needs updating, and every leaver needs terminating. Here is how to keep the two in step.

Why employee registration matters

NSSA credits contributions to each person's record using their social security number. If an employee is not registered, their contributions cannot be allocated — and when they later claim a pension, invalidity or funeral grant, the history they rely on may be incomplete.

Compliance note — employer obligations
Employers are required to register with NSSA and to register each employee who is eligible to contribute, to keep employee particulars up to date, and to notify NSSA when employment ends.

What you need to register an employee

  • Full name exactly as on the national ID.
  • National ID number and date of birth.
  • Gender and contact details.
  • Date of engagement and occupation.
  • Earnings and the currency of payment.

Common mistakes

  • Typing IDs differently — "63-123456 A 70" and "63123456A70" may be treated as different people by a spreadsheet, not by NSSA.
  • Creating duplicates — re-registering an employee who already has an SSN from a previous employer.
  • Forgetting terminations — leavers who stay "active" make every future P4 disagree with NSSA's list.
  • Back-dating late — registering an employee months after they started leaves gaps in their contribution history.
